Import contacts from Excel
The contact template it’s based on the fields you can register when creating a new contact in ITGallery. Here’s a breakdown of all the fields:
- Treatment: How to address the person (For example: Sir/Madame).
- Name: As expected, the contact’s first name.
- Surname: Contact’s last name.
- Complete name: Not necessary if you fill out both the name and surname columns.
- Contact type: The type of contact (For example: Press, VIP, Client). You can add more than one category by separating them with commas. Please check the available categories when creating a new contact or refer to this article: Creating or Editing a Contact
- Responsible: In case someone from the gallery team is responsible for communicating with the contact being created
- Tags: Same as in artworks, it’s an open field for internal contact categorization. You can add multiple tags, separated by commas.
- Language: The contact’s preferred communication language. This is used for segmenting newsletters or personalizing communications.
- Tlf 1/ Tlf 2: Phone numbers for contact. When entering a phone number please include the international dialing code preceded by the "+" sign.
- Email 1: The primary email for contact and the default for sending newsletters.
- Email 2: A secondary contact email.
- Saved for email: Indicate whether the contact agreed to email communications. Fill this with “Yes” or “No.”
- Interest: If they have an interest in a particular artist. You can list multiple artists separated by commas.
- Source: A shorter version of details, helpful for filtering contacts later. You can use general terms like "fair" or "exhibition," or create a more detailed code like "ARCO2024" and exhibition titles. It
- Company: The company the person works for (e.g., Tate Museum).
- Position: Their role (e.g., Exhibition Coordinator).
- Details: Internal notes, for example, how you met the contact or specific things to remember when treating them.
- Personal / Bussiness / Shipping Billing address: Breaking down into these categories allows you to choose later among the three fields when creating an invoice or a delivery note.
- Web: Their website (e.g., company, artist, etc.).
- City and country: Where they live. This can be useful if, for example, you attend an art fair and want to reach out to local contacts.
- Birth country: Mostly used for artists.
- Passed away: Indicates if the contact is deceased. Fill this with “Yes” or “No.”
- Bank data: Banking details for invoicing purposes.
- Social media (Facebook/Twitter/Instagram): Links to their social media profiles.
- Saved for postal mail: Fill this with “Yes” or “No.”
