Import from Excel
ITGallery allows you to import multiple artworks at once through an Excel file. This is ideal for quickly uploading large inventories and ensuring all your data is accurately structured. You can import up to 200 artworks per file.
Here's a step-by-step guide on how to do it.
Download the Excel template
Before starting, download our Excel template. This file contains all the supported fields and serves as a guide to help you organize your data correctly before importing.
Fill out the template
Fill the Excel file with your artwork data. Please note that the only mandatory columns are:
- Artwork name
- Artist name
- Inventory ID
If you want to import images, make sure to include the "Image File" column and associate it during the import process. This field is optional but necessary for image uploads.
Upload the file to your ITGallery account
Once your file is ready:
- Go to the Artworks section in ITGallery.
- Select Tools button on the right of your screen
- And then select the "Import from Excel" option.
Upon accessing this option, a window will appear where you can upload your file and start the import process.
Match column headers
- Upload your filled-out Excel file.
- Go to the next step and associate the headers of your file with the columns you want to import.
- ITGallery will process the file and import the artworks into your inventory. A summary report will appear if any errors are detected.
Match images
- Drag and drop the image files or use the file explorer to select them
- Make sure the image filenames exactly match those listed in the Excel file (e.g., if the Excel has "waterwills.png", the image file must be named exactly "waterwills.png")
Once uploaded, you’ll see a summary showing how many images were successfully linked and if any couldn’t be matched to an artwork.
To finish the import process, you can close the window, and the artworks you imported will appear in the artworks list table.
Upload artworks without images
You can complete the import without including images. In that case, artworks will be added with a default image. Please note that if you matched the column "image File" a confirmation window will appear.
Alternatively, you can leave the "Image File" column unmatched during the field-matching step.
